Collection and Use of Personal Information

Personal information is data that can be used to uniquely identify or contact a single person.

You may be asked to provide your personal information anytime you are in contact with Orange Envelope Bookkeeping Inc. (“Orange Envelope”) or an Orange Envelope affiliated company. Orange Envelope and its affiliates may share this personal information with each other and use it consistent with this Privacy Policy. They may also combine it with other information to provide and improve our products, services, content, and advertising.

Here are some examples of the types of personal information Orange Envelope may collect and how we may use it.

What personal information we collect

When you sign up, create a Client ID or are issued a Client ID and use our services, we may collect a variety of information, including your name, mailing address, phone number, email address, phone number, contact preferences, billing information and credit card information. We may also acquire:

  • Financial Information such as bank or brokerage account numbers and types of investments;
  • Unique Identifiers such as user name, account number and passwords; and
  • Preferences Information such as product wish lists, order history and marketing preferences.

How we use your personal information

  • The personal information we collect allows us to keep you posted on Orange Envelope’s latest product updates. It also helps us to improve our services, content, and advertising.
  • We use personal information to help us develop, deliver, and improve our products, services, content, and advertising.
  • From time to time, we may use your personal information to send important notices, such as communications about payments and changes to our terms, conditions, and policies. Because this information is important to your interaction with Orange Envelope, you may not opt out of receiving these communications.
  • We may also use personal information for internal purposes such as auditing, data analysis, and research to improve Orange Envelope’s products, services, advertising and customer communications.

    • Provide the Services, including the engagement of third party providers and the provision of the information to such providers in order to provide the Services;

  • We may collect information such as occupation, language, postal code, area code, location, and the time zone where an Orange Envelope service is used so that we can better understand customer behavior and improve our products, services, and advertising.
  • We also may collect information regarding customer activities on our website and from our other products and services. This information is aggregated and used to help us provide more useful information to our customers and to understand which parts of our website, products, and services are of most interest. Aggregated data is considered non-personal information for the purposes of this Privacy Policy.

If we do combine non-personal information with personal information the combined information will be treated as personal information for as long as it remains combined.

Cookies and Other Technologies

Orange Envelope’s website, online services, interactive applications, email messages, and advertisements may use “cookies” and other technologies such as pixel tags and web beacons. These technologies help us better understand user behavior, and tell us which parts of our website people have visited. We treat information collected by cookies and other technologies as non-personal information. However, to the extent that Internet Protocol (IP) addresses or similar identifiers are considered personal information by local law, we also treat these identifiers as personal information. Similarly, to the extent that non-personal information is combined with personal information, we treat the combined information as personal information for the purposes of this Privacy Policy.

Orange Envelope and our partners also use cookies and other technologies to remember personal information when you use our website, online services, and applications. Our goal in these cases is to make your experience with Orange Envelope more convenient and personal.

As is true of most websites, we gather some information automatically and store it in log files. This information includes Internet Protocol (IP) addresses, browser type and language, Internet service provider (ISP), referring and exit pages, operating system, date/time stamp, and clickstream data.

We use this information to understand and analyze trends, to administer the site, to learn about user behavior on the site, and to gather demographic information about our user base as a whole. Orange Envelope may use this information in our marketing and advertising services.

Disclosure to Third Parties

At times Orange Envelope may make certain personal information available to strategic partners that work with Orange Envelope to provide products and services, or that help Orange Envelope market to customers.

We retain the right to manage our operations, including using service providers of our own choosing, to facilitate the development, hosting and ongoing support of our services to meet our business goals. Our employees, consultants, contractors, suppliers and partners, if authorized, may have access to our customer information or the systems storing it as part of and solely for the purposes of performing their jobs, or within the scope of their agreements with us. In all cases, we use reasonable efforts to ensure that your Personal Information, as part of our confidential business information, is protected under contracts with such persons.

While we take care to use only service providers that we believe are reputable and able to live up to our and your expectations, including about the handling of confidential information, Orange Envelope is not liable for unlawful or unauthorized use of Personal Information by any of such persons unless such unlawful use was a direct result of our gross negligence or wilful misconduct.

With your authorization, we may disclose your Client Data (and any Personal Information related thereto) through our service to a third party accountant or other services of yours. If you authorize this disclosure, the use and disclosure restrictions contained in this Privacy Policy will not apply to such third party. We do not control the privacy practices of any third parties. We may disclose your Personal Information to a parent company, any subsidiaries, joint ventures, or other companies under a common control (collectively, “Affiliates”), in which case we will require our Affiliates to honor this Privacy Policy. In addition, if another company merges with us, acquires us, or purchases our assets, including in bankruptcy, we may provide your Personal Information to such third party, in which case such company may continue to process your Personal Information as set forth in this Privacy Policy.

We will also share your Personal Information if we are required by law (including any generally applicable law or any specific court order or other legal process binding on us) or if we otherwise determine in good faith that such disclosure is necessary to resolve disputes and/or protect or defend the rights or property of Orange Envelope and other users. We will use reasonable efforts to make you aware of such disclosure promptly unless we are prevented from doing so.

If you provide feedback to us, we may use and disclose such feedback for any purpose, provided we do not associate such feedback with your Personal Information. We will collect any information contained in such feedback and will treat the Personal Information in it in accordance with this Privacy Policy.

Service Providers

Orange Envelope shares personal information with companies who provide services such as information processing, managing and enhancing customer data, providing customer service, assessing your interest in our products and services, and conducting customer research or satisfaction surveys. These companies are obligated to protect your information and may be located wherever Orange Envelope operates.

Others

It may be necessary − by law, legal process, litigation, and/or requests from public and governmental authorities within or outside your country of residence − for Orange Envelope to disclose your personal information. We may also disclose information about you if we determine that for purposes of national security, law enforcement, or other issues of public importance, disclosure is necessary or appropriate.

We may also disclose information about you if we determine that disclosure is reasonably necessary to enforce our terms and conditions or protect our operations or users. Additionally, in the event of a reorganization, merger, or sale we may transfer any and all personal information we collect to the relevant third party.

Protection of Personal Information

Orange Envelope takes precautions — including administrative, technical, and physical measures — to safeguard your personal information against loss, theft, and misuse, as well as against unauthorized access, disclosure, alteration, and destruction.

Orange Envelope uses commercially reasonable efforts to ensure that Personal Information is secure, including a combination of firewall barriers, encryption techniques and authentication procedures, among others, to maintain the security of your online session and to protect Orange Envelope.ca accounts and systems from unauthorized access.  In order to prevent unauthorized access or disclosure, we put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect, as well as the modes of access to it. While we strive to protect your Personal Information, we cannot warrant the security of any information you transmit to us.

Integrity and Retention of Personal Information

Orange Envelope makes it easy for you to keep your personal information accurate, complete, and up to date. We will retain your personal information for the period necessary to fulfill the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law.

All Personal Information linked to your account will be deleted at your request as soon as reasonably possible in accordance with the law. When you make a request to delete your account, your data will be deleted from our production servers, and you will no longer be able to access your account. However, we may retain your Personal Information to comply with laws, prevent fraud, resolve disputes, troubleshoot problems, assist with any investigations, enforce our terms of service, and take other actions otherwise permitted by law.

Please remember, however, if we have already disclosed some of your Personal Information to third parties, such as your accountant, we cannot access that Personal Information any longer and cannot force the deletion or modification of any such information by the parties to whom we have made those disclosures.

Aggregated or anonymous data derived from your Personal Information, which cannot be traced back to your account, may remain on our production servers indefinitely. We reserve the right to use any aggregated or anonymous data derived from or incorporating your Personal Information.

Access to Personal Information

You can help ensure that your contact information and preferences are accurate, complete, and up to date by logging in to your account at www.OrangeEnvelope.ca or www.BookkeepingReports.com. For other personal information, we make good faith efforts to provide you with access so you can request that we correct the data if it is inaccurate or delete the data if Orange Envelope is not required to retain it by law or for legitimate business purposes. We may decline to process requests that are unreasonably repetitive, require disproportionate technical effort, jeopardize the privacy of others, are extremely impractical, or for which access is not otherwise required by local law. Access, correction, or deletion requests can be made by emailing support@bookkeepingreports.com.

Children

We do not knowingly collect personal information from children under 13. If we learn that we have collected the personal information of a child under 13 we will take steps to delete the information as soon as possible.
